THE ROLE
Breakaway is seeking a highly organized and proactive Executive Assistant to support company leadership at our Columbus headquarters. This role serves as a key partner to executives, helping drive efficiency, organization, and day-to-day operational effectiveness in a fast-paced environment.
You will be responsible for managing calendars, coordinating meetings and travel, preparing materials, and ensuring leadership is aligned and prepared across all priorities. This role requires strong attention to detail, excellent communication skills, and the ability to anticipate needs before they arise.
The ideal candidate is resourceful, adaptable, and thrives in a dynamic setting. You take ownership of your work, maintain a high level of professionalism, and act as a reliable point of coordination for both internal and external stakeholders.
This is an in-office role based in Columbus, Ohio. Candidates must be local or willing to relocate.
RESPONSIBILITIES
- Own the day-to-day operations, organization, and overall experience of the Columbus office, ensuring a clean, functional, and welcoming environment
- Manage office supplies, equipment, kitchen inventory, and workspace setup to support team productivity
- Serve as the primary point of contact for office vendors, building management, and service providers, coordinating maintenance, cleaning, and ongoing office needs
- Handle incoming mail, document distribution, scanning, and check deposits
- Oversee office access, including employee parking passes, key distribution, and visitor/contractor coordination
- Greet and assist visitors, ensuring a positive and professional in-office experience
- Prepare and reset meeting rooms and shared spaces, and coordinate catering, meals, and meeting materials as needed
- Support employee onboarding logistics, including workspace setup and in-office readiness
- Maintain shared resources, internal documentation, and office systems
- Assist with office improvements, furniture orders, and workspace-related projects
- Flex schedule as needed to support meetings, guests, and office initiatives outside of standard office days
- Provide high-level administrative support to the Co-Founder and in-office leadership team
- Manage complex calendars, scheduling, and meeting coordination across internal and external stakeholders
- Coordinate travel logistics and maintain detailed itineraries
- Act as a central point of contact for leadership-related communication and coordination
- Prepare agendas, presentations, and key meeting materials
- Track follow-ups, action items, and deadlines to ensure execution and accountability
- Screen and prioritize incoming requests, communications, and competing priorities
- Assist with expense tracking, invoice management, and administrative reporting
- Support logistics for leadership meetings, events, and company-wide initiatives
- Maintain confidentiality across sensitive information, files, and communications
- Assist with ad hoc administrative tasks and occasional local errands as needed
QUALIFICATIONS
- 1–3+ years of experience in administrative support, operations coordination, or office management
- Located in or willing to relocate to Columbus, Ohio
- Experience supporting leadership or executives in a professional environment
- Strong organizational and time-management skills
- Ability to manage multiple priorities in a fast-paced environment
- Clear written and verbal communication skills
- High attention to detail and strong follow-through
- Comfortable handling confidential information
- Proactive problem-solver who takes initiative
- Experience coordinating travel logistics and scheduling
- Proficiency in Google Workspace and Microsoft Office
- Experience in entertainment, events, agency, or startup environments is a plus
